ProXmTest (“we”, “our”, “the platform”) is an online testing and examination environment designed for examiners (teachers) and examinees (students). We are committed to protecting your privacy and complying with the General Data Protection Regulation (GDPR).

This Privacy Policy explains what data we collect, how we use it, and what rights you have.

3. What Data We Collect

3.1 Examiner/Teacher Data

To create an examiner account, we require:

• Email address (real) – used for login and account recovery
• Password – stored securely (hashed)

This is the only piece of personal data that must be real.

3.2 Student/Examinee Data

Examiners may create student entries containing:

• Name – may be fictitious
• Email – may be fictitious (must follow the format [email protected])
• Matricol Number – optional; currently unused; may be used by the examiner for anonymization or pseudonymization

The platform does not require real student data. Examiners are responsible for maintaining an external method to identify their students.

3.3 Automatically Collected Data

When using the platform, we collect:

• IP address
• Browser type and version
• Device and operating system
• Access timestamps
• Pages visited
• Server logs (errors, access logs)

These are essential for security and platform functionality.

4. How We Use Data

We process data to:

• Provide access to the platform
• Allow examiners to create and manage tests
• Allow examinees to take assigned tests
• Store test results and statistics
• Maintain security and prevent abuse
• Provide account recovery (email reset)

We do not use data for marketing, profiling, or advertising.

5. Email Communication

5.1 What Emails We Send

The platform sends only account recovery emails to examiners.

5.2 Student Emails

Student emails are never used for sending messages. They function only as login identifiers and may be fictitious.

6. Cookies

ProXmTest uses only essential cookies, such as:

• Session cookies (required for login and navigation)

We do not use:

• Advertising cookies
• Analytics cookies
• Third‑party tracking cookies

A cookie banner is not required under current EU guidelines for this usage.

7. Third‑Party Services

7.1 Hosting

All data is stored on servers provided by o2switch.fr, located in France (EU). o2switch acts as a Data Processor under GDPR.

7.2 Google Forms (Contact & Account Deletion)

Account deletion requests are submitted through a Google Form. Google may process:

• IP address
• Browser information
• Form submission data

Google’s privacy practices apply when using the form.

8. Data Retention

8.1 Examiner Accounts

When an examiner requests account deletion:

• The request is submitted via Google Form.
• The account enters a 48‑hour cool‑off period.
• After 48 hours, the account and all associated data are permanently deleted.

8.2 Student Data

Student data is stored only as long as the examiner’s account exists. If the examiner account is deleted, all associated student data is deleted as well.

8.3 Logs

Server logs are retained for security and maintenance purposes for a limited period, then deleted or anonymized.

9. Data Security

We implement technical and organizational measures to protect data, including:

• HTTPS encryption via Cloudflare
• Secure password hashing
• Access control
• EU‑based hosting
• Regular updates and security patches

No method of transmission is 100% secure, but we follow industry best practices.

10. Your Rights (GDPR)

You have the right to:

• Access your data
• Request correction
• Request deletion
• Restrict processing
• Object to processing
• Request data portability

Examiners may request account deletion via the Google Form. Students must contact their examiner, who controls their data entries.

11. Responsibility for Student Data

ProXmTest does not require real student data. Examiners are responsible for:

• Choosing whether to use real or fictitious student information
• Maintaining an external method to identify students
• Ensuring compliance with their own institutional or legal requirements

The platform stores student data exactly as provided by the examiner.
